- CONCEPT: This is the procedure that must be followed by students registered on a doctoral programme who have to interrupt their studies due to illness, risk during pregnancy, birth, risk during breastfeeding, adopting a child, care with a view to adoption, care with a view to fostering, or concentration of working hours reduction for breastfeeding into a single period, gender violences or any other situation envisaged in the current legislation.

The doctoral student or authorised individual on presentation of the necessary identification.

Through the online administrative procedures on the Intranet of the URV.
If the student does not have access to the online procedures, they can submit their application to the online registry of the Universitat Rovira i Virgili or to any of its auxiliary registries.

When
|
- At any time throughout the academic year.
- The doctoral candidate must be registered for the current academic year and, whenever possible, they should submit their request before the three months prior to the deadline for the deposit of the doctoral thesis. The doctoral student can consult the deadline on the SAD.
- Leave due to birth/adoption can be requested up to the day before the child is one year old.

By submitting the following documentation:
- Application addressed to the Campus/Faculty/School Secretariat for Academic Management.
- In the case of leave for illness, risk during pregnancy or risk during breastfeeding: medical certificate stating the date of the beginning of the leave of absence and the possible date of return to work.
- In the case of leave due to birth: document official stating the date of birth of the child. The duration of leave in both these cases is 16 weeks, to be taken any time within the year after the birth.
- In the case of leave due to adoption: the official adoption ruling. The duration of leave in these cases is 16 weeks to be taken after the adoption of the child.
- In the case of leave due to the concentration of working hours reduction for breastfeeding into a single period:
- Individuals paid a salary: A resolution issued by the company stating that this leave may be added to the individual's maternity/paternity leave.
- Self-employed individuals: Current situation report issued by the General Treasury of the Social Security in which it is stated that
Application procedure

the individual is registered as a self-employed person. In this case, 4 weeks may be added onto the end of the period of leave due to birth.

Observations

- During the period that doctoral students are on temporary leave:
- They must register. If they do not register during the academic year 2024-25, they will be permanently suspended from the doctoral programme.
- The initial deadline will be extended by the duration of the corresponding leave of absence so that the student has more time to deposit the doctoral thesis.
- During the temporary leave of absence, students may still put themselves forward for assessment and the evaluation criteria may be adapted on the basis of their current situation. If, despite the adaptation of the evaluation criteria, the student is unable attend assessment, they will be given the grade of "Absent due to temporary leave of absence". If a new student has a qualification of "Absent due to temporary leave" in the 2nd exam session, they will have to apply to cancel their registration and pre-register again.

The Campus/faculty/School Secretariat for academic management updates the information in the student’s file and sends them the corresponding resolution by electronic notification. A copy of this resolution must be sent to the Doctoral School and to the secretary of the corresponding department.

Observations: |
Doctoral students must maintain their administrative relationship with the URV by registering annually up until the moment when they deposit and defend their doctoral thesis.
