Attestation of documents

  • DESCRIPTION: An attested copy of a document is one which has been compared with the original document and then stamped to confirm that it is a faithful copy of the original.

 

Application procedure

Who

The interested party or the authorized person on presentation of the necessary identification.

What

  1. Documents that have to be presented for an administrative procedure or activity of:

    • The URV.

    • The URV Foundation.

    • Any entity linked to or dependent on the URV.

  2. Official documents issued by the URV, by the URV Foundation or by any entity linked to or dependent on the URV, that have to be presented at another institution.

The URV's administrative units cannot attest any other document.

Where

  • At the Registry or auxiliary registries of the URV.

  • At URV units authorised to make attested copies.

How

1) Documents that have to be presented for an administrative procedure or activity of the URV, the URV Foundation and/or any entity linked to or dependent on the URV.

By presenting the original document and the photocopy of the original document that is to be attested.

The original and photocopy will be compared to ensure that they match. If this is the case, the photocopy will be stamped with a stamp of attestation, which must contain:

  • the name of the URV.

  • the text "This copy is a faithful reproduction of the original".

  • the place and date of attestation.

  • the signature of the issuing officer.

  • the name and surname of the signing officer.

  • the text "The validity of this attestation is only guaranteed for administrative procedures within the Universitat Rovira i Virgili; other institutions may choose not to accept its validity."

Each page in the document must be marked with the stamp of attestation; if it is applied only to the first page, the text of the stamp must cite the number of pages (which must first be numbered and stamped) contained in the document.

Wherever possible, the stamp must be placed at the end of the document. Any blank spaces above or below the stamp must be crossed out.

The original document will be returned to the interested party, and the photocopy will be retained for administrative procedures.
If the procedure requires the presentation of original documents, the attested copies must be given to the interested party.
 

2) Official documents issued by the URV, by the URV Foundation or by any entity linked to or dependent on the URV, that have to be presented at another institution.

In this instance, the interested party must submit an application form.

The original and photocopy must be returned. 

Cost

None.

Observations

For its administrative procedures, the URV will accept attested documents issued by:

  • Any national, regional or local public administration or any public university of the Spanish State.

  • The diplomatic and consular offices of the Spanish state.

  • Notaries:

    • registered with the Spanish state

    • from signatory countries of The Hague Apostille Convention, provided that that copies bear the corresponding apostille (all member states of the European Union have signed the convention) 

    • from countries that are not signatories of The Hague Apostille Convention, provided the document has the necessary legalisation.

(*) In accordance with article 14.4 of Royal Decree 1390/2007, of 29 October, which approves the Regulations governing the honorary consular agents of Spain. Legalisations made abroad by the honorary consular agents are also valid. 

For documents issued in a foreign language, the attesting entity must make a photocopy of the original and mark the photocopy with the stamp of attestation.

Only one stamp of attestation will be issued per document, unless it can be convincingly demonstrated that more than one attestation is needed for the administrative procedure in question.
 

 If there are any differences between translations, the Catalan version prevails.
